Replace: with the following Requests for withdrawal after the deadline will be accepted only in cases of extenuating and documentable circumstances. Both the instructor and the academic advisor must approve the withdrawal and explain their reasons for granting it. Final approval rests with the Assistant Vice-Chancellor for Enrollment Management or his/her designee. Requests will not be considered if submitted one calendar year beyond the date the initial grade was earned. Impact Statement: This paragraph will now make it clear that students must be prepared to submit documentation of the circumstances which precipitate their requests for withdrawal. The addition of the one calendar year deadline will prevent students from submitting requests beyond a reasonable time frame. Rationale: The Enrollment Services Advisory Committee has reviewed the current withdrawal policy and while they do not wish to make extensive changes to the policy at this time, they are hopeful that by adding the two main points in this proposal; one that students must be prepared to submit documentation, and two that they only have one calendar year in which to make such a request, that current abuses may be sufficiently curtailed making further changes unnecessary.
